PRIVACY AND SECURITY POLICY
Mini Rodini works continuously to ensure that your privacy is protected by your use of our services.
This privacy and security policy applies only to Mini Rodini's customers and users of Mini Rodini's web services.
1.1 Personal data
Mini Rodini is responsible for all personal data belonging to customers in accordance with PUL, the Personal Data Act (1998: 204), which is the Swedish implementation of the EU Data Protection Directive (95/46/EC) and from 25th of May 2018 replaced by EU Integration Law, GDPR, the General Data Protection Regulation.
Personal Data refers to all types of information that may be directly or indirectly attributed to a physical person. This applies to, for example, name, social security number, address, e-mail address and telephone number. It also applies to, for example, order numbers, encrypted data and different types of electronic identities, such as IP numbers, if they can be linked to a physical person.
1.2 Legal basis and storage of personal data
Mini Rodini's legal basis for processing your personal data is in accordance with current legislation, as stated in section 1.1. It may occur that the same personal data is processed both on the basis of the purchasing agreement, specifically by consent or on the basis that the information is necessary to fulfill other legal obligations. This means that even if you revoke your consent and the handling based on the consent ceases, the personal data may still remain with us for other purposes. In essence, we treat your information to fulfill an agreement in which you are a party, such as a purchase agreement, until no such obligations exist.
The information we collect from you is stored within the European Economic Area (EEA), but can also be transferred and processed in a non-EEA country. Any such transfer of your personal data is in accordance with applicable law.
1.3 What data do we collect
Mini Rodini collects personal data that you send to us, such as when you place an order, contact our customer service, perform certain actions on our site(s) or participate in surveys and competitions. For example, the personal data you send to us may include contact information, date of birth and payment information. Personal data we receive through your use of our online services is usually cookies. In addition, we may collect certain personal data from external sources and third parties, such as credit reports and registered address updates.
Data collected when ordering
When you purchase a product of minirodini.com or in one of Mini Rodini's physical stores, we collect personal data from you to fulfill your order. This is information such as name, date of birth, gender, address and contact details to you as a customer. In connection with order placement we also collect payment information from you as a customer.
Data collected by personal contact
We collect personal data from you when you contact us, for example via customer service, by e-mail, telephone or other means. First of all, we collect the personal data needed to answer your question or handle your case. This is information such as name and order number. Depending on how you choose to contact us, we can also collect contact information such as email address and phone number.
Data collected through My Pages
If you register a user identity on minirodini.com (My Pages), we collect your email address to create the login. We also collect information about your username. On My Pages you can then choose to provide information about name, date of birth, age, gender, address(es) and contact details.
When you place an order on minirodini.com and you have a user identity on My Pages, personal data can be matched to complement your profile. There is also a choice for you as a customer to create a profile if you do not already have one. In these cases, the User Identity includes the same personal data that you provided to us when placing your order.
Information collected when you subscribe to our newsletter
If you choose to subscribe to Mini Rodini's newsletter, we will collect your name and e-mail address in order for us to be able to send you our newsletter. If you choose to provide it, we will also collect information about your zip code and country of residence.
Data collected when using our digital services
When using Mini Rodini's website(s), or any other digital service affiliated with Mini Rodini, we collect information about your usage of our services. Some of this data may include personal data, such as your IP number. We also collect information about how you navigate, what searches you are doing and what products you are interested in. If you're logged in to My Pages or provide information that allows us to identify you, we'll link the information about your user pattern with the other information we've collected about you.
Data collected from someone other than you
When e.g. buying a gift card or contacting us in various cases, a person may provide personal data about one or more other persons, primarily their email address or telephone number. We assume that the person providing the information has the consent of all persons to whom that person may disclose this personal data of.
In order to keep your personal data updated and correct, we will update your personal data, if necessary, by collecting data from private and public records. This applies, for example, to address and social security number.
1.4 Customer Care
Mini Rodini uses your personal data to provide you with service(s) if you contact us with questions, comments or complaints. We use your name and order number to identify you and your order. We use your contact information, such as email address and phone number to contact you in connection with questions or concerns. We may also use all of the other personal data we collected about you to handle your question or task, depending on what is relevant in the individual case.
1.5 Information related to orders
Once you have purchased a product with us, we use your personal data to send a order confirmation, important information about the status of your order, and a delivery note. Such information will be sent to the e-mail address that was provided when you placed the associated order.
1.6 Marketing and personalization
Personal data can be used in marketing campaigns by Mini Rodini in connection with promotions, activations or information sent by mail, email and SMS.
If you have subscribed to our newsletter, we use your personal data to send the newsletter to you and sometimes to customize the content of the newsletter to you. This is partly done via your email address and information about your order history, products selected according to your user pattern and your preferences. By using data we can provide you with the offers we think you have the greatest interest and benefit from.
On our websites, we use information about our users for so-called, personalization. This means that we use the information we have collected about you and your use of our services to affect how the content of the site looks like when you visit us. The customization can for example be that we save and show information about products you searched for on previous visits to our web, language preferences, and to show ads and offers that we think fit you and your wishes both on minirodini.com and other sites.
We also use personalization in our communications through social media and web advertising on sites other than minirodini.com.
In some cases, we share information with third parties to help us customize our offers and promotion to you. With these actors we enter into personal data assistant agreements to ensure that such partners treat data in accordance with applicable privacy laws.
1.7 Development of features and services
Mini Rodini uses the information we collect about our customers to develop and improve our features and services. This is valid for our digital services, where we analyze user-behavior to develop how we present information, offerings and styling of features. It also applies to the development of our user experience according to customers' wishes and behaviors and, for example, fix broken site links or increase our overall IT security.
In essence, we use anonymous or anonymized data at aggregated level to do this type of analysis. However, we may also use personal data we have collected related to above discussed touchpoints, if relevant.
1.8 Legal requirements
Finally, processing of personal data will also be made possible in order to fulfill obligations under rule of law and regulations, for example in matters of security (e.g. fraud) and accounting purposes.
1.9 Storage times
Mini Rodini follows good practice in accordance with the general retail industry. We save your personal data as long as it is required for the purpose of fulfilling a purchasing agreement and related accounting obligations.
We save all the personal data we collect in our customer database. The customer database stores personal data and order history for two (2) years if you have not agreed that we can save your information for a longer time period.
If you file a claim within two years of your last order, we will save all your information for another two (2) years from the date of your claim.
Information provided under My Pages is stored as long as the user identity is active.
If you subscribe to our newsletter, your contact information will be stored as long as you choose to continue receiving our newsletter. If you opt-out by unsubscribing, the data will no longer be stored.
The same component of personal data can be stored in several different locations for different purposes. This may mean that data deleted from one system, may remain in another system where it is stored with the consent of the user or for another purpose that require that the personal data is kept, e.g. security or accounting purposes.
1.10 General use of personal data
Mini Rodini uses personal data for the following purposes:
To create and manage your personal account at Mini Rodini.
To process your orders and returns via our online services.
To send you SMS delivery notifications.
To contact you in case of any problems with the delivery of your goods.
To answer your questions and to inform you about new or changed services.
To, if necessary, carry out credit checks.
To send promotional offers such as newsletters and other offers.
To make analyzes so that we can offer you relevant promotional offers and information.
To confirm that you hold the statutory minimum age to make purchases online.
To send you surveys that give you the opportunity to influence our offers and services.
To test and improve our systems that provide our services.

1.11 Transfer of personal data
Contracted partners and IT providers
We use a number of different IT services and IT systems in our operations. In some of these, personal data are stored and handled. We care for your integrity and security and the protection of information in all such handling. Some systems are installed locally with us and only selected staff have access to the data. In these cases, no transfer will be made to third parties. However, some systems are cloud solutions or installed at the supplier’s location which means that we transfer personal data to the supplier. In these cases, the supplier has entered into a personal data assistant agreement with us and handles the data on our behalf and according to our instructions.
Internal IT systems
Internally we handle personal data in our customer database, in our business and sales support systems, in our customer service system and in a data management and database backup system.
We use external vendors for personalization and analysis of user behavior on our websites and for user feedback. These companies handle personal data in accordance with a personal data assistant agreement on our behalf. The information in question is primarily information collected through cookies and managed at anonymous and aggregated levels.
Payment solutions and gift cards
We use external suppliers to handle payments and gift cards. These providers have access to personal data in the form of names, addresses and payment information. This handling is necessary to deliver the services you have ordered from us. Mini Rodini is not the primarily owner of this type of personal data, eg. payment information, and does not store this type of information locally.
We use external providers to provide information via SMS during order and delivery management. These providers have access to personal data in the form of telephone numbers.
1.12 What are your rights
Necessary handling of personal data and handling with the purpose of consent
Personal data processing that is necessary for us to fulfill an agreement with you or to fulfill a legal obligation is permitted without consent. However, in order for us to collect and handle your personal data for any other purpose, you must agree to the treatment. You agree to the usage of personal data when using our services at minirodini.com, in our social channels, at our customer service or in our stores.
Right to receive information about personal data and / or withdrawal of consent
You are entitled to request information about the personal data we have about you at any time. If your information is incorrect, incomplete or irrelevant, you may want to have them corrected or deleted. We cannot delete your data as long as there is a statutory requirement for storage, such as accounting rules, or when there are other legitimate reasons why the data must be saved, such as unpaid debts. You may revoke your consent at any time to avoid letting us use the information for marketing purposes. 1.13 Protection of your personal data
We have undertaken technical and organizational measures to protect your data from loss, manipulation and unauthorized access. We are continuously adjusting our security measures in accordance with the progress and developments in the technical field. We take ongoing measures to comply with the principles of "built-in data protection and data protection by “default". We continuously evaluate the risks of personal data processing and take the necessary security measures to reduce risks. To make credit card purchases as secure as possible, all information is sent in encrypted form. This means that the information is transmitted through a secure connection and that your personal data cannot be read by third parties. For credit card purchases, we work with an authorized payment agent that helps us to directly check with your bank that the card is valid for purchase. Our payment service provider(s) processes your credit card information in accordance with the international security standard PCI DSS developed by VISA, MasterCard, Diners, American Express and similar authorized credit card companies. This means that the security is very high when processing your credit card details.

2.4 What types of cookies do we use?
In order for certain features of minirodini.com and Mini Rodini’s online services to work, such as displaying the right web pages for the right person, the site(s) uses so-called "session cookies". When you visit any of our websites, our web servers provide your computer with a unique ID number for the unique visit. These cookies have no expiration date and are instead temporarily stored in the user's memory until the web browser closes. Thanks to this cookie, you do not need to re-enter all the information every time you go back in the booking dialogue.
A persistent cookie has a specified duration, or lifespan, which determines how long it is stored on your computer or mobile device. Such cookies are stored until the lifespan expires or until you manually remove them.

2.5 Third Party Cookies and Suppliers
A third-party cookie is a cookie placed on your device on our behalf by someone other than us. This occurs when we have suppliers who provide services to us, for example some analytics services or services that let you share our pages in social media.
Mini Rodini uses third-party cookies to collect aggregated statistics in analytical tools like Google Analytics. The cookies used are both persistent and session.
2.6 How can you handle cookies in your browser as a customer?
You can easily delete cookies from your computer or mobile device through the browser. For instructions on how to manage and delete cookies, go to the "Help" option in your browser. You can choose to disable cookies or get a notification each time a new cookie is sent to your computer or mobile device. Please note that if you choose to disable cookies, you may not be able to use all features on our site properly.

4. DISPUTES / ODR
The ODR's (Online Dispute Resolution) website is an official website managed by the European Commission dedicated to helping consumers and businessmen settle their disputes out of court. ODR applies within the EU, with a few exceptions. In Sweden, the ARN (General Complaints Board) is the ODR instance.
